About the role
We are seeking a proactive and highly organized Office Assistant to join our Brisbane team. In this fast‑paced role you will be the operational backbone of the office, ensuring day‑to‑day activities run smoothly while providing essential administrative, logistics, and technology support to local staff and visiting personnel.
Key responsibilities
- Travel & logistics coordination for Australian and US personnel, including flights, accommodation, ground transport and visa support.
- Maintain a travel tracker, communicate itineraries clearly and manage preferred vendor relationships.
- Plan and coordinate internal and external meetings, leadership reviews, joint‑venture partner sessions and site visits, handling calendar scheduling across Brisbane, Darwin and Austin time zones.
- Arrange meeting rooms, catering, prepare materials and follow up on action items post‑meeting.
- Manage day‑to‑day office operations, order and track supplies, liaise with building management and facilities vendors.
- Oversee document management, incoming/outgoing correspondence and support onboarding of new staff.
Required profile
- Highly organized with the ability to manage competing priorities in a fast‑paced environment.
- Strong communication skills and a professional, welcoming demeanor.
- Good judgement and willingness to step in wherever needed.
- Comfortable working with staff across multiple time zones.
