Project Administrator – Civil Construction

About the role

We are looking for a motivated Project Administrator to support a reputable civil construction company in Sydney. You will work closely with project teams to ensure smooth execution of medium to large‑scale projects.

Key responsibilities

• Assist the Project Manager, Construction Manager, Site Supervisor and Engineers to meet project goals.
• Prepare and review reports on project activities and milestones.
• Maintain an effective filing system and coordinate new‑employee inductions.
• Manage document‑management (Dash Pivot) and HR (UKG) platforms, uploading and organising files.
• Administer external services such as stationery, courier and related costs.
• Arrange travel bookings, accommodation and airport transfers as required.
• Perform general administrative duties including data entry, word processing, photocopying and document control.
• Support project teams with updating project folders and organising social activities, celebrations and open days.

Required profile

• Minimum 2 years of administrative experience, preferably in civil construction or a related field.
• Knowledge of invoicing, basic accounting and general office administration.
• Excellent verbal and written communication skills.
• High attention to detail and ability to maintain confidentiality of personnel records.
• Certificate IV in Business Administration is desirable.
• Willingness to work onsite at the Sydney office.

Required skills

• Proficiency with Microsoft Office suite.
• Experience using Dash Pivot Platform (document management).
• Experience using UKG HR management system.
