Procurement & Contracts Advisor

About the role

The Procurement & Contracts Advisor supports the delivery of procurement and contract management activities across the AIR Alliance, which delivers essential services for Antarctic research and operations. Reporting to the Commercial Manager, the role works closely with the Procurement Package Owner to ensure alignment with the Alliance’s Procurement & Contract Management Plan.

Key responsibilities

• Obtain and analyse tender submissions and pricing to support procurement decisions and negotiations.
• Maintain procurement records, register bids and keep procurement data up‑to‑date in relevant systems.
• Support the sourcing process by identifying suppliers, participating in consultations and assisting senior procurement staff.
• Contribute to market awareness by identifying new materials, plant, equipment or technical developments.
• Coordinate tender processes, including supplier pre‑qualification, issuing RFQs/RFTs, supporting evaluations and managing pre‑award activities.
• Assist with contract administration, negotiations, preparation of recommendation for award documents and tracking contract departures.
• Support performance monitoring, reporting and risk management to ensure compliance and transparency.
• Promote a collaborative, inclusive team culture and adhere to Alliance policies and governance frameworks.

Required profile

• Experience in procurement and contract management within construction or infrastructure projects.
• Ability to work closely with commercial and purchasing teams to align activities with strategic plans.
• Strong analytical skills for evaluating tender submissions and pricing.
• Attention to detail in maintaining accurate procurement records and documentation.
• Commitment to continuous improvement, innovation and knowledge sharing.
