About the role
Join a leading Australian law firm as a Practice Administrator supporting the Projects practice in Melbourne. You will provide high‑level secretarial and administrative assistance to two Partners and their legal teams.
Key responsibilities
- Manage multiple diaries, schedule client meetings and adjust commitments proactively.
- Handle incoming correspondence, emails and internal/external requests, drafting letters where required.
- Oversee general accounts, monthly billing, client reporting and expense processing with meticulous attention to detail.
- Conduct file management tasks, including opening/closing matters, conflict searches and preparing conflict communications.
- Monitor matter budgets, review third‑party invoices and prepare client Work Orders.
Required profile
- Proven experience in an administrative or secretarial role, preferably within a legal or professional services environment.
- Exceptional organisational skills, strong multitasking ability and a proactive, flexible approach.
- Excellent interpersonal skills for communicating with high‑level internal and external stakeholders.
Required skills
- Advanced proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
- Experience with billing processes; knowledge of Aderant Expert software is highly desirable.
