Job description
About the role
Rugby World Cup Australia (RWCA) is looking for a Systems & Data Administrator to support the Tournament Management System (TMS), a suite of applications underpinning tournament operations such as accreditation, accommodation, transport, workforce, media and reporting. The role is based in the Sydney CBD office, reports to the TMS Service Manager within the Tournament Technology Services team and runs from February 2027 until November 2027. It suits an early-career systems professional who wants hands-on experience with enterprise technology platforms.
Key responsibilities
- Help track the administration and maintenance of the TMS, including user access, roles, permissions, reference data, communication templates and reporting structures across tournament applications.
- Maintain controlled documentation so version history, ownership, process maps, user guides, training materials and decision logs stay accurate and audit-ready.
- Support functional areas with data preparation, imports, validation, mapping, quality assurance and maintenance of data standards and naming conventions.
- Coordinate configuration governance and change control, keeping configuration registers, approvals, release records and traceability between pre-production and production environments.
- Maintain governance, reporting and delivery records in Smartsheet, WeTrack, Jira, SharePoint and Microsoft 365, producing status updates for readiness reviews and audits.
- Support testing, UAT, training and go-live preparation, including test scenarios, defect logs and sign-off documentation.
- Use AI and automation tools responsibly to improve document control, reporting and knowledge management while protecting privacy and data integrity.
Required profile
- At least 2 years' experience in systems administration, data administration, information management, configuration control, records management or a similar technology-focused role.
- Understanding of data quality, data structures, reference data, reporting and controlled change management in SaaS or enterprise application environments.
- Experience maintaining controlled documentation, registers and version-controlled artefacts with attention to detail.
- Knowledge of system configuration, testing, UAT, issue tracking, training content development and release processes.
- Ability to communicate clearly with business users, vendors and technology teams, and flexibility to travel and work outside normal hours.
Required skills
- Microsoft 365 (Excel, Word, PowerPoint, Teams, SharePoint)
- Smartsheet, WeTrack, Jira, Power BI or similar workflow and reporting tools (highly regarded)
- Practical understanding of AI tools, automation platforms and prompting techniques
What we offer
- Fixed-term contract with a hybrid model of four office days per week (Monday to Thursday), becoming full-time in the office as the tournament approaches.
- Weekly fresh fruit, wellbeing initiatives and Lunch & Learn sessions.
- On-site showers, towels and hair tools.
- Regular team events and celebrations.
Candidates apply online with a CV of maximum 3 pages; the selection process includes a two-stage interview in the Sydney office. Applicants must hold unlimited working rights in Australia.
