Production Coordinator

About the role

The Production Coordinator will keep show operations organized and efficient by managing scheduling, communication, and coordination for specific artist disciplines at ILM Sydney.

Key responsibilities

• Collaborate with discipline supervisors to schedule work aligned with show targets, client reviews, and bids.
• Establish daily and weekly processes to communicate targets, assignments, and priorities to artist crews and the broader production team.
• Schedule, track, and manage work in ShotGrid, ensuring data visibility and accuracy.
• Conduct regular artist check‑ins, monitor progress, and proactively escalate issues.
• Set up discipline turnovers, track client deliveries, and organise dailies and shot reviews.
• Generate weekly progress synopses for production leadership.
• Supervise, delegate tasks to, and mentor Production Assistants.

Required profile

• 2–3+ years experience in a VFX or feature animation production environment.
• Strong organisational and communication skills with ability to meet strict deadlines.
• Proactive attitude with a track record of identifying workflow bottlenecks.
• Bachelor’s degree in Film, Art, Communications, or equivalent practical industry experience.

Required skills

• Experience with ShotGrid or similar tracking tools.
• Technical literacy across Linux, Windows, and Mac environments.
• Basic technical troubleshooting and ability to run generic scripts for view stations.
