Ops Senior Admin Assistant

About the role

The Ops Senior Admin Assistant will support the Cell & Gene Operations team in a Fortune Global 500 environment, ensuring smooth logistics for cell and gene therapy shipments. This role reports to the Cell & Gene Operations Lead and works closely with control tower coordinators, logistics partners, and regulatory teams.

Key responsibilities

• Coordinate daily operations for cell and gene shipments, liaising with Control Tower Coordinators.
• Utilize technology for enhanced monitoring, management, and control of shipments.
• Arrange and dispatch drivers, ensuring compliance with GDP documentation and airline cut‑off times.
• Work with regulatory teams to guarantee import/export trade compliance.
• Book shipments, create MAWB, and manage routing with airlines and integrators.
• Maintain proper handling, storage, and labeling of shipments, including heavy lifting when required.
• Enter and confirm shipment data in Marken’s Maestro system and send pre‑alerts to branches and service providers.
• Perform pre‑ and post‑flight checks, communicate delays, and escalate issues to management.

Required profile

• Experience in logistics or supply chain operations, preferably in biotech or medical shipments.
• Strong attention to detail and ability to follow SOPs and regulatory requirements.
• Excellent coordination and communication skills with internal and external partners.
