About the role
Hall & Wilcox is seeking an experienced Office Co-ordinator to join its modern, open‑plan office in Canberra. The role provides prompt, efficient, and reliable office services to internal teams, external stakeholders, and visitors, while driving continuous improvement across all Office Services functions.
Key responsibilities
- Greet and assist clients and visitors, ensuring a professional experience.
- Coordinate meeting‑room bookings, setups, resets and support smooth delivery of internal and client meetings and events.
- Maintain client areas, kitchens, meeting rooms and back‑of‑house workspaces to high standards.
- Supervise office‑services processes, implement best practices and reporting mechanisms.
- Manage security passes, onboarding of new starters, office tours, merchandise and equipment coordination.
- Liaise with Facilities, Technology, suppliers and building management for maintenance and equipment.
- Oversee WH&S checks, First Aid, emergency warden coordination and critical‑incident response.
- Handle mail, deliveries and couriers.
- Manage internal communications, office‑related events and activations.
- Support legal assistants with scanning, collecting and copying incoming court documents.
- Administer office supplies, catering, staff amenities and budget reconciliation.
- Assist the National Operations Manager and Canberra Office Partner in Charge and undertake project work as required.
Required profile
- Minimum two years’ experience in a similar role or within a professional services firm.
- Excellent interpersonal and communication abilities.
- Ability to work autonomously with strong attention to detail.
- Strong organisational and time‑management skills.
- Flexible, reliable and proactive attitude.
Required skills
- Working knowledge of Microsoft Office.
