Executive Assistant to Commercial Director

About the role

Gardner Vaughan, a leading Brisbane‑based builder‑developer, is seeking an Executive Assistant to work directly with the Commercial Director. This senior partnership role goes beyond traditional administration, supporting the Director in driving sales, marketing and brand initiatives across South‑East Queensland.

Key responsibilities

• Partner daily with the Commercial Director on sales, marketing and brand activities.
• Manage meeting logistics and act as proxy in meetings, following up on commitments.
• Oversee and reset the sales and marketing strategy, translating it into actionable business plans.
• Develop and document procedures for project marketing and sales.
• Create growth plans for direct reports and support senior leaders toward autonomy.
• Own end‑to‑end event planning, from supplier selection to on‑day delivery.
• Prepare reports, presentations and board papers for the commercial portfolio.

Required profile

• Proven experience supporting senior leaders, preferably in sales, marketing or project delivery.
• Track record of building and embedding procedures or systems across teams.
• Experience developing others, formally or informally.
• Confidence to engage with senior stakeholders and represent the director.
• Strong organisation, communication and follow‑through, with sound judgement and discretion.
