About the role
We are seeking a proactive Executive Assistant/Office Manager to support our senior leadership team in a fast‑paced, on‑site environment. This hybrid administrative and cultural champion role will involve managing executive calendars, coordinating meetings, and fostering a positive workplace experience for all employees.
Key responsibilities
- Provide executive‑level support to C‑suite leaders and the CEO, handling complex calendar management, travel arrangements, and meeting logistics.
- Coordinate internal and external communications, including emails, calls, and briefing notes.
- Support board and leadership meetings by preparing agendas, taking minutes, tracking actions, and creating presentations as needed.
- Act as a liaison between executives and internal teams to ensure alignment and efficiency.
- Organise employee social events and team initiatives, both virtually and in person.
- Deliver first‑line support for employee queries and contribute to an outstanding employee experience.
- Assist with the employee lifecycle: onboarding, off‑boarding, contracts, HR documentation, and policy administration.
- Maintain accurate employee records using Employment Hero, ensuring compliance and confidentiality.
- Support performance reviews, training programs, engagement initiatives, and internal communications.
- Work flexibly to accommodate global meetings and international stakeholders.
Required profile
- Minimum 2 years of experience in executive support, administration, or office management.
- Self‑driven, accountable, and able to manage competing priorities.
- Excellent written and verbal communication skills.
- High emotional intelligence with the ability to build strong relationships.
- Strong organisational skills, meticulous attention to detail, and a commitment to excellence.
- Positive, adaptable mindset and willingness to roll up sleeves in a growing business.
Required skills
- Proficiency with Microsoft Office Suite.
- Experience using business systems and scheduling tools, such as Employment Hero.
