Administration Officer – Automotive Dealership

About the role

We are looking for an experienced Administration Officer to join our Mulgrave facility, supporting Chadstone Ford and Chadstone Hyundai. Reporting to the Dealership Accountant, you will work full‑time, Monday to Friday, 8:30 am – 5:00 pm, handling a wide range of dealership administration tasks.

Key responsibilities

• Prepare weekly and monthly debtor reports.
• Perform account reconciliations and maintain schedules.
• Process vehicle registrations, transfers, deal processing and vehicle costings.
• Maintain accurate records and ensure all paperwork is signed and compliant.
• Process and authorise supplier invoices and payments.
• Undertake additional industry‑specific administrative duties (training provided).

Required profile

• Available to work full‑time, Monday to Friday, 8:30 am – 5:00 pm.
• Previous experience in automotive administration is highly regarded.
• Strong attention to detail, organisational and communication skills.
• Ability to build strong relationships with internal and external stakeholders.
• Capable of managing competing priorities while maintaining accuracy under pressure.

Required skills

• Experience using ERA (Pentana).
• Strong proficiency in Microsoft Excel.
