About the role
We are seeking an experienced Executive Assistant to support two Executive General Managers within our People, Performance & Reputation unit. Based in Darling Park 2, Sydney, you will work closely with senior leaders, handling confidential matters and ensuring smooth day‑to‑day operations.
Key responsibilities
- Provide proactive, high‑quality executive support, including diary management, agenda setting and meeting preparation.
- Coordinate meetings and team events, handling logistics such as room bookings, technology setup and catering.
- Prepare agendas, capture accurate minutes and drive follow‑up on action items.
- Manage the cadence of Board, Board Committee, Group Leadership Team and Leadership Team meetings, ensuring all deadlines are met.
- Oversee creation, quality control and timely submission of Board and executive management papers.
- Arrange travel itineraries, including flights, accommodation and visas, with a focus on efficiency.
- Maintain highly confidential filing systems using platforms such as OneNote.
- Support trans‑Tasman team events, onboarding of new members and contribute to a high‑performance team culture.
Required profile
- Strong time‑management skills and ability to thrive in a fast‑paced environment.
- Extensive experience providing executive support to senior leadership.
- Solid business acumen with sound judgement and quick decision‑making.
- Exceptional communication and interpersonal abilities.
- Proactive mindset with confidence to anticipate needs and set boundaries.
- Flexibility and adaptability to manage competing priorities.
Required skills
- Advanced proficiency in Microsoft PowerPoint.
- Advanced proficiency in Microsoft Word.
- Advanced proficiency in Microsoft OneNote (Microsoft Office suite).
