Operations Coordinator

About the role

The Operations Coordinator ensures that all inbound and outbound shipments are monitored and delivered on time, supporting UPS’s commitment to quality and customer satisfaction.

Key responsibilities

• Monitor daily inbound and outbound shipments, ensuring timely delivery.
• Use the Maestro operating system to plan, execute, and track import and export shipments.
• Coordinate collections, deliveries, drop‑offs, and recoveries with internal teams, Marken offices, agents, and drivers.
• Maintain communication with the Packaging Team to secure necessary supplies for shipments.
• Handle temperature‑sensitive and cold‑chain shipments, preparing and documenting them as required.
• Provide documentation to agents/drivers and confirm recoveries against manifests.
• Dispatch shipments promptly after collection and alert receiving parties.
• Report discrepancies, update Maestro, and obtain Master Airway Bill (MAWB) instructions.
• Define optimal routing, book airline space, and manage international flight leg entries.
• Update Maestro with departure schedules and handle irregularities.

Required profile

• Professional experience in customer service operations, preferably in international air freight, logistics, or distribution.
• Knowledge of pharmaceutical or clinical trial logistics is a plus.
• Strong attention to detail and commitment to quality.
• Team player who can work independently and is motivated to succeed.

Required skills

• Proficiency in MS Office, especially Excel and Word.
• Experience using the Maestro logistics system.
