Operations Coordinator - Import/Export Shipments

About the role

UPS is looking for an Operations Coordinator to monitor inbound and outbound shipments daily so they are delivered within agreed timelines. The role works with the operating system Maestro to plan, execute and monitor import and export shipments, and coordinates collections, deliveries, drop-offs and recoveries with other departments, Marken offices, agents and drivers.

Key responsibilities

• Maintain constant communication with the Packaging Team to ensure supplies are available for collections, deliveries, drop-offs and recoveries.
• Process temperature-sensitive shipments and prepare temperature-controlled shipments as required.
• Provide the proper documentation to agents and Marken drivers and confirm each recovery is complete by matching information against the manifest.
• Provide expedited dispatch after collection, notify any discrepancies and update Maestro accordingly.
• Confirm shipments are OK to send, obtain the Master Airway Bill (MAWB) consignment instructions and define the best route to the final destination.
• Handle irregularities, condition shipments as required and update milestones in Maestro.
• Book with the airline, consign the MAWB, enter the route leg for international flights, send alerts through Maestro and coordinate drop-off to the airline with Dispatch.
• Use the Daily Schedule Report and update Maestro with all departures from the airport.
• Perform additional administrative work as needed.

Required profile

• Professional experience in customer service operations, preferably in international air freight, logistics or distribution.
• Knowledge of the pharmaceutical and clinical trial industry is preferred.
• Commitment to quality, attention to detail, strong customer focus, and a team player who is self-reliant and motivated.

Required skills

• Proficiency in MS Office, Excel and Word.
• Familiarity with the Maestro operating system.
