Medical Services Coordinator (Men's RWC 2027)

About the role

Rugby World Cup Australia is looking for a Medical Services Coordinator to join its team in Sydney CBD, reporting to the Medical Services Manager. The role supports the planning and delivery of medical services across the Men's Rugby World Cup 2027, coordinating workforce administration, accreditation and compliance, maintaining operational documentation and assisting with supplier and equipment management. It works closely with doctors, allied health professionals, the Medical Advisory Group, participating teams, venue and city operations, contractors and suppliers.

Key responsibilities

• Coordinate and maintain medical services planning, including workplans, action registers, trackers, meeting schedules and project milestones.
• Support recruitment, onboarding, accreditation and compliance administration of medical personnel, keeping records and certifications accurate.
• Manage communications and stakeholder engagement, including meetings, agendas, minutes, action tracking and team doctor and Medical Advisory Group engagement.
• Prepare operational reports, presentations, briefings, medical manuals, policies, procedures and systems.
• Coordinate team submissions, workforce databases, rosters, contact lists and information distribution.
• Assist with procurement, tracking and administration of medical equipment, consumables and supplier contracts, including quotes, supplier communications and inventory.
• Support venue medical readiness, testing exercises, match-day operations and live delivery, monitor risks, manage allocated projects and contribute to post-event reporting.

Required profile

• 2 years' experience in an administration, coordination or project support role, managing competing priorities and deadlines.
• Organised, detail-oriented, with experience maintaining records, databases, project trackers and documentation.
• Strong written and verbal communication, able to build relationships with a wide range of stakeholders.
• Experience supporting workforce administration, onboarding, accreditation, compliance or operational logistics in a fast-paced environment.
• Ability to handle confidential information professionally and to work outside standard hours and travel as required.
• Desirable: healthcare, sports medicine or medical administration experience; major event or multi-stakeholder project experience; exposure to accreditation, compliance, procurement or project management systems.

Required skills

• Advanced Microsoft Office, especially Excel, Word, Outlook and PowerPoint.
