Executive Assistant - Treasury Markets and Commodities Risk

About the role

IB&M Risk Management oversees and advises on risk management across the bank, developing and deploying risk frameworks for credit, market, operational, compliance and insurance risks within a Board-approved appetite. This Executive Assistant position supports the General Manager of Treasury Markets and Commodities Risk and the IBM Risk Chief Operating Officer, based in the Sydney CBD area.

Key responsibilities

• Deliver administrative, secretarial and business support, including complex diary and inbox management.
• Prepare meeting packs, coordinate agendas, take minutes, track actions and follow up.
• Manage engagement events such as functions, offsites and team building, including catering.
• Coordinate domestic and international travel.
• Support complex people HR matters, advising on policies and job changes in line with the risk function's people strategy.
• Keep FTE reports and staffing plans accurate and update org charts regularly.
• Work with the market risk governance manager on regulatory matter dashboards using risk in site.
• Help keep the team within policy and budget, track expenses and keep the EGM office informed.
• Support annual leave liability reporting and attendance tracking dashboards.
• Ensure the GM meets key due dates by managing stakeholder expectations and resolving issues before they reach the GM.
• Coordinate governance and reporting submissions with Board and ELT schedules, and act as an EGM EA delegate when required.

Required profile

• Previous Executive Assistant experience managing complex calendars.
• Ability to manage workflow and priorities, work well under pressure and stay flexible.
• Pragmatic professionalism in person, by phone and in writing.
• Self-motivated, proactive, with strong attention to detail and a focus on customer service.
