Customer Service Officer – Spare Parts

About the role

The Customer Service Officer – Spare Parts is responsible for delivering high‑quality support throughout the spare‑parts order fulfilment process. You will act as the main liaison between customers, suppliers and internal teams, ensuring accurate quotations, order processing and timely logistics coordination.

Key responsibilities

• Handle customer enquiries via phone, email, portals and face‑to‑face interactions.
• Prepare and process quotations, sales orders and procurement requests.
• Coordinate end‑to‑end spare‑parts fulfilment, including logistics, import/export activities and stakeholder communication.
• Prepare customer invoices and process supplier invoices to support financial operations.
• Maintain accurate order, transaction and customer records in SAP and Microsoft 365.
• Monitor order progress, communicate updates, and resolve or escalate issues promptly.
• Build and maintain effective relationships with customers, suppliers and internal departments.
• Contribute to continuous‑improvement initiatives using approved digital and AI tools.
