Clinic Reception & Administrative Support

About the role

This position sits at the heart of a small, close‑knit fertility clinic in Bondi Junction. Working alongside the Practice Manager, you will ensure smooth daily operations and provide a welcoming experience for patients navigating a significant life stage.

Key responsibilities

• Greet and welcome patients, manage pathology forms and support patients when the PA is unavailable.
• Handle patient file management: confirm onboarding documentation, upload faxes, forward records to Medical Records and process Genea referrals.
• Assist the Practice Manager with phone and email follow‑up, general admin tasks and ad‑hoc support for nursing, counselling and dietician teams.
• Coordinate with the clinical team to keep schedules and documentation up to date.

Required profile

• A people‑first mindset, understanding the sensitivity of fertility care.
• Strong communication and interpersonal skills for interaction with doctors, nurses, counsellors and external stakeholders.
• Excellent organisational abilities and attention to detail to manage a varied workload in a busy clinic.
• Previous experience in a medical, allied‑health or customer‑facing admin role is highly regarded.
