Bid and Submissions Coordinator

About the role

This position supports Woods Bagot’s Adelaide studio, coordinating bid and submission processes and creating high‑quality marketing collateral. Candidates from Melbourne, Brisbane or Perth are also welcome.

Key responsibilities

• Prepare and coordinate bid and submission responses, including pitch and presentation materials.
• Interpret client briefs, source content, and produce submissions using InDesign and Word templates.
• Manage external sub‑consultants, monitor tender opportunities, and coordinate workshops and review meetings.
• Maintain the studio library of marketing resources and update CRM systems with opportunity data.
• Ensure brand consistency, coordinate legal and risk reviews, and support regional/global teams as needed.

Required profile

• 3‑5 years of experience in bid or submissions coordination, preferably within architecture or design.
• Relevant degree in Marketing, Business, Commerce or a design‑related field.
• Strong organisational, time‑management and communication skills.
• Ability to work independently and collaboratively across a small local team and a wider regional network.

Required skills

• Proficiency in Adobe InDesign.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint).
