Accounts Payable Administrator

About the role

A family-owned construction firm serving retail, education, hospitality and pharmaceutical clients is looking for an organised, detail-focused Accounts Payable Administrator in Melbourne. The role keeps supplier payments running smoothly, with additional admin support as needed. Construction or Cheops experience is a bonus but not essential, as training is provided.

Key responsibilities

• Process and distribute invoices via Cheops
• Prepare creditor payments, including monthly EFT runs (30, 35 and 45 days)
• Complete creditor reconciliations and resolve supplier queries
• Process daily bank transactions and cash receipts, and follow up on overdue accounts
• Reconcile credit card and petty cash
• Process retentions and review invoice holds
• Set up supplier, subcontractor and debtor accounts, including credit applications
• Track insurance compliance and maintain subcontractor bank guarantees
• Handle rental invoicing and receipt processing
• Support the Financial Controller with fleet, phone and account admin, project archiving and document management
• Answer incoming office calls

Required profile

• Previous experience in an accounts payable role is essential
• Strong attention to detail
• Ability to work independently and as part of a team
• Excellent written and verbal communication skills
