Senior Executive Assistant

About the role
The Senior Executive Assistant will support the Deputy Vice‑Chancellor (Global Engagement) at the University of Queensland’s St Lucia campus. The role involves managing complex travel, diary and stakeholder interactions in a fast‑paced, international environment. Strong communication and attention to detail are essential.
Key responsibilities
- Manage administration systems, ensuring efficient workflow and prioritisation.
- Act as liaison for internal and external stakeholder enquiries.
- Oversee the Deputy Vice‑Chancellor’s diary, schedule and travel coordination.
- Process financial matters including reimbursements, expenses and account reconciliation.
- Coordinate portfolio‑relevant projects, research, draft correspondence and occasional minute‑taking and committee organisation.
- Monitor the portfolio’s operational plan, budget and key university initiatives.
- Ensure compliance with university policies and procedures.
- Organise functions, workshops, meetings and engagement activities.
- Support coordination of international delegations and stakeholder engagement.
Required profile
- Relevant degree and extensive experience providing senior executive support in a large organisation.
- Excellent communication and interpersonal skills with ability to engage diverse stakeholders.
- Strong judgment, discretion and problem‑solving abilities for confidential matters.
- Proven experience in stakeholder management, issue resolution and policy navigation.
- Expertise in domestic and international travel coordination and itinerary development across multiple time zones.
- Knowledge of university administration and corporate systems (desirable).
