Operations Coordinator - Import/Export Shipments

About the role

UPS is hiring an Operations Coordinator to monitor inbound and outbound shipments daily so they are delivered within agreed timelines. The role works with the operating system Maestro to plan, execute and monitor import and export shipments, and coordinates collections, deliveries, drop-offs and recoveries with other departments, Marken offices, agents and drivers.

Key responsibilities

• Monitor inbound and outbound shipments daily and coordinate collections, deliveries, drop-offs and recoveries with other departments, Marken offices, agents and drivers.
• Maintain constant communication with the Packaging Team to ensure supplies are available.
• Process temperature-sensitive shipments and prepare temperature-controlled shipments as required.
• Provide the proper documentation to agents and Marken drivers and confirm each recovery by matching information against the manifest.
• Provide expedited dispatch after collection, notify discrepancies and update Maestro, and confirm shipments are OK to send.
• Obtain a booking with the airline, consign the MAWB, enter route legs for international flights and send alerts through Maestro.
• Coordinate with Dispatch the drop-off to the airline according to SOPs, use the Daily Schedule Report and update Maestro with departures from the airport.
• Handle irregularities and perform additional administrative work as needed.

Required profile

• Professional experience in customer service operations, preferably in international air freight, logistics or distribution.
• Preference for existing knowledge of the pharmaceutical and clinical trial industry.
• Commitment to quality, attention to detail, strong customer focus, and a team player who is self-reliant and motivated.

Required skills

• Proficiency in MS Office, Excel and Word.
• Experience with the Maestro operating system.
