Buying Compliance Coordinator

About the role

As a Buying Compliance Coordinator you will ensure every pre‑sale vehicle meets internal policies and regulatory requirements, keeping the buying pipeline clean, fast and audit‑ready. You will act as the central hub for compliance checks, documentation and coordination across the buying team and related departments.

Key responsibilities

• Own pre‑sale compliance from start to finish, ensuring each vehicle meets internal policy and regulatory standards.
• Run detailed compliance checks including recalls, manufacturer contacts, service‑history reviews and ASIC checks.
• Collaborate with Buyers to keep the pipeline moving on schedule.
• Secure, organise and maintain vehicle keys, logbooks and documents in an audit‑ready state.
• Serve as the central coordination point for the Buying team, facilitating clear communication.
• Enter and verify vehicle data using Redbook and Glass’s with meticulous attention to detail.
• Provide phone‑based customer service and coordination support when needed.
• Work with Delivery, CX, Registrations and Workshop teams to ensure smooth handovers.
• Assist sourcing activities, including follow‑up calls and chasing critical details.

Required profile

• Experience in administration, coordination or compliance within a fast‑paced environment.
• Clear, confident communication, especially over the phone.
• Strong attention to detail and a commitment to getting things right the first time.
• Highly organised with a preference for structured processes and checklists.
• Ability to juggle multiple tasks and deadlines without losing focus.
• Proactive, self‑motivated and comfortable working independently or as part of a team.
• Tech‑savvy and quick to learn new systems.
• Commitment to maintaining clean records and audit‑ready documentation.
