Job description
About the role
A growing disability advocacy organisation focused on supporting NDIS participants is looking for a reliable, organised and professional part-time Virtual Assistant. The role handles day-to-day administration so the Principal can focus on participant advocacy, complex matters, organisational leadership and strategy. The position is based in Australian Eastern Standard Time.
Key responsibilities
- Participant administration: intake documentation, service agreements and forms, outstanding information, participant files, appointment preparation, records and matter closure.
- Email and general administration: inbox monitoring, sorting and prioritising, drafting routine responses, managing enquiries and escalating urgent matters.
- Calendar and appointments: managing the Principal's calendar, booking participant appointments, coordinating meetings with providers and stakeholders, confirmations, reminders and rescheduling.
- Casework and advocacy administration: caseload register, tracking follow-ups, case notes and advocacy documentation, preparing files for participant meetings.
- Document and file management: OneDrive/Google Drive structures, templates and registers, consistent file naming and procedures.
- NDIS research: locating current NDIS information, government publications and consultation papers for the Principal.
- Stakeholder and provider administration: contact details, meeting coordination, correspondence and records.
- Communications and marketing (as the role develops): social media content, Canva graphics, newsletters, website content, communications calendar and resource uploads.
- Business and operations support: meeting agendas and minutes, action and organisational registers, deadline tracking and project assistance.
The VA does not make advocacy decisions or give independent advocacy advice; that remains the responsibility of the Chief Executive and Principal Advocate.
Required profile
- Organised, reliable, professional and discreet.
- Comfortable working with sensitive and confidential information.
- Able to work independently without constant direction.
- Experience in disability services, NDIS environments, administration, case management or professional services is highly regarded.
