Executive Assistant to CEO and ELT

About the role

We are looking for a highly capable Executive Assistant to partner closely with our CEO and Executive Leadership Team. This strategic, outcomes‑focused position goes beyond traditional diary management, supporting a fast‑moving, globally active organisation in the mining equipment sector.

Key responsibilities

• Provide high‑level support to the CEO, managing complex, changing schedules, travel arrangements and priorities across multiple time zones.
• Coordinate Board meetings, including scheduling, agenda preparation, distribution of board papers, minute‑taking and stakeholder liaison.
• Make timely decisions with incomplete information, applying sound judgement and contextual awareness.
• Identify inefficiencies and lead process improvements such as optimising meeting cadence and ways of working.
• Build and maintain strong, trusted relationships internally and externally.
• Own execution of systems and tools to support the ELT, ensuring seamless operation.

Required profile

• Proven experience as a senior Executive Assistant supporting senior leaders in a global business.
• Demonstrated expertise in coordinating board meetings and related documentation.
• Confidence to work autonomously and make decisions with limited direction.
• Strong judgement, balancing speed with quality of decisions.
• Excellent relationship‑building and influencing abilities.
• Highly organised, adaptable and proactive approach.
• Strong IT and digital capability with a solutions‑focused mindset.
• Comfortable in a flat, collaborative environment where outcomes are achieved through teamwork.
