About the role
The University of Melbourne is seeking a proactive Executive Assistant to support two senior leaders within the Melbourne Research & Enterprise Portfolio. You will play a pivotal role in ensuring smooth executive operations, enabling the university’s research excellence and strategic partnerships.
Key responsibilities
- Manage complex diaries, travel arrangements and expense reporting for two executives.
- Handle incoming correspondence, draft responses and prioritize requests.
- Coordinate committees and meetings, including scheduling, agenda preparation, minute‑taking and hybrid technology support.
- Develop and maintain administrative systems, records and workflows to sustain high‑quality portfolio operations.
- Collaborate with the Executive Support team to streamline processes and drive continuous improvement.
Required profile
- Significant experience providing high‑level executive assistance in a complex, confidential environment.
- Proven ability to manage competing priorities, tight deadlines and detailed logistics.
- Excellent written communication skills, capable of tailoring messages for senior stakeholders.
- Strong judgement, discretion and a professional approach to handling sensitive information.
Required skills
- Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience using Zoom and related virtual‑meeting platforms.
