Systems Coordinator

About the role

The Systems Coordinator will manage and optimise student management systems, ensuring data accuracy, reliability and regulatory compliance. This role works closely with internal teams and external vendors to improve system functionality and support decision‑making across the organisation.

Key responsibilities

• Manage and support key student and business systems, including the Student Management System (SMS), InPlace, JIRA and My eQuals.
• Resolve system issues, implement enhancements and improve processes with stakeholders and vendors.
• Maintain accuracy, integrity and consistency of student data across systems.
• Produce and analyse operational, management and regulatory reports, including Power BI dashboards.
• Support TCSI, QILT and other higher‑education reporting requirements.
• Develop and maintain system documentation, user guides and process manuals.
• Deliver training and guidance to staff on system use.

Required profile

• Bachelor’s degree or higher in Computer Science or a related discipline.
• Experience with student management systems and data in the higher‑education sector.
• Demonstrated experience with TCSI reporting and regulatory compliance.
• Strong attention to detail and methodical approach to data integrity.
• Ability to translate technical information for non‑technical stakeholders.

Required skills

• Student Management System (SMS) platforms such as InPlace and My eQuals.
• JIRA and Meshed RTO Manager (or similar).
• Advanced Excel skills.
• Power BI or Tableau for data visualisation.
• Data analysis and reporting capabilities.
