Onboarding Coordinator (Remote, Brisbane Time)

About the role

We are looking for an organized and detail‑oriented Onboarding Coordinator to manage day‑to‑day client onboarding activities. The role involves data entry, task management, client communication, training coordination, and ensuring every onboarding step is completed accurately and on time.

Key responsibilities

• Manage accurate client, property, and owner data entry.
• Maintain onboarding tasks, statuses, dates, and documentation in Asana.
• Review checklists before client handoffs and go‑live.
• Handle routine onboarding emails and provide timely responses to client queries.
• Schedule training sessions, send invitations, and follow up on attendance.
• Coordinate with internal teams to ensure smooth client onboarding.
• Escalate technical, commercial, or sensitive client issues to the supervisor.
• Use Claude/AI tools to improve efficiency while personally verifying all client‑facing information.
• Maintain accurate records and ensure onboarding deadlines are met.
• Identify errors, missing information, or incomplete tasks before they affect clients.

Required profile

• Minimum 2 years of experience in client onboarding, customer success, client coordination, operations, or a similar role.
• Strong written and spoken English.
• Excellent attention to detail and accuracy.
• Experience with Asana or similar project/task‑management tools.
• Comfortable using Claude or other AI productivity tools.
• Strong client communication, follow‑up, and organizational skills.
• Comfortable working independently in a remote environment.
• Reliable high‑speed internet and a suitable home‑working setup.
• Ability to work according to the Brisbane time zone.
