Jr. Facilities Coordinator (Part-time)

About the role

As a Junior Facilities Coordinator you will help create a safe, welcoming and well‑organized workplace for Ivanti’s Australian office. Working part‑time on‑site, you will be the first point of contact for day‑to‑day office operations, ensuring employees, customers and visitors can focus on their work.

Key responsibilities

• Act as the primary on‑site contact for workplace operations, handling security, cleaning, waste, catering, postage, parking and office supplies.
• Support employees, leaders and visitors with exceptional customer service, meeting coordination and general office administration.
• Manage meeting‑room schedules and assist in planning and executing onsite meetings and events.
• Partner with the local property‑management company and third‑party vendors to maintain high workplace standards.
• Welcome VIP visitors and provide a professional experience for all guests.
• Identify and propose improvements to enhance operational efficiency and employee experience.

Required profile

• Up to 2 years of experience in facilities coordination, workplace operations or office administration.
• Strong customer‑service mindset with a proactive, solution‑oriented approach.
• Excellent organisational skills and ability to manage multiple priorities.
• Effective verbal and written communication.
• Ability to work independently while collaborating with broader teams.
• High level of professionalism and discretion with confidential information.
