Goodwork
Job description
About the role
An Australian financial services platform is hiring a remote Fund Administrator to own the operational and compliance backbone of its LP (Limited Partner) onboarding and investor management process. The role sits in the CEO's front-facing team, reporting to the Head of Funds & Syndicates, and works with the Head of Funds & Syndicates and the Co-Founder. It is the first line of review on investor documents and communications, followed through to signed and reconciled deals.
Key responsibilities
- Monitor and triage LP and syndicate inboxes, send investor updates to approved syndicates, route queries and manage forwarded LP requests, and consolidate fund-lead communications into the shared inbox platform (Groove)
- Review wholesale certificates against compliance checklists, check investment entity documentation, move verified records to reviewed status and add admin notes to investor profiles
- Follow up with investors on missing or incorrect information, clear the backlog of unreviewed accounts while handling 100-200 new ones per month, and monitor the 2-year renewal cycle on wholesale certificates
- Investigate unresolved LP cases raised by syndicate leads, confirming onboarding status and investor-syndicate linkage
- Generate investment schedules, push drafts for signature and follow up until signed, check bank transactions against deals, upload transaction confirmations and reconcile investor and investment records
- Resolve one-off LP requests, issue holding documents on request, send documents to authorised representatives and flag compliance concerns for senior review
- Attend weekly closing WIP meetings, track open deal status and coordinate with the Head of Funds & Syndicates and the CFO on open items
- Help build SOPs, process improvements and guidebooks as the role matures
Required profile
- 3-5 years of experience in roles such as Fund Administrator, Auditor, Accountant, Corporate Paralegal or similar, ideally in a regulated financial or legal environment
- Able to work independently alongside a senior team
- Exceptional written communication, able to join a video call when needed
- High attention to detail, proactive and accountable, and eager to learn new tools and processes
Required skills
- Experience reviewing financial documentation and assessing compliance against a checklist
- Experience in regulated environments where accuracy and process integrity are non-negotiable
- Basic accounting and reconciliation, including work in a ledger tool
- Familiarity with investor onboarding workflows, KYC processes or document verification
