Finance Operations & Reconciliation Officer

About the role

The Finance Operations & Reconciliation Officer will ensure accurate processing of valuation fees, bank transactions and commission statements for an Australian‑based financial services firm. You will work within Australian business hours, collaborating closely with the Valuation Team and accountants to maintain clean financial records.

Key responsibilities

• Monitor the company’s nominated bank transaction view and valuation‑payment request queue during rostered Australian business‑hour coverage.
• Match each receipt to the appropriate customer, property, broker or channel, valuation case, amount and payment reference, and record the result in the approved register.
• Place short‑paid, over‑paid, duplicate, delayed or unidentified receipts into an exception queue and obtain clarification through the approved internal channel.
• Support refunds or reallocations by preparing evidence and approval requests; do not independently release funds.
• Obtain and organise monthly funder statements, reconcile them against loan, settlement and commission records, and identify missing loans, duplicate lines, incorrect rates or other exceptions.
• Maintain a loan‑level reconciliation workbook and exception log, escalating material variances promptly.
• Prepare broker and approved‑channel commission statements using authorised templates, validate payee details and loan attribution, and respond to routine reconciliation queries.
• Compile an approved payment schedule for the accountant, performing duplicate, amount, entity and bank‑detail checks before submission.
