Executive Assistant to Managing Partner

About the role

BlackBay Lawyers is seeking a highly organized Executive Assistant to support the Managing Partner, Victoria‑Jane Otavski. This pivotal role ensures the Managing Partner can focus on high‑value legal work, business development, and firm leadership by handling all administrative and operational tasks that do not require her legal expertise.

Key responsibilities

• Manage and optimise the Managing Partner’s calendar, meetings, and travel arrangements.
• Filter communications and interruptions, prioritising client and partner interactions.
• Prepare, review, and format documents, emails, and presentations to match the Managing Partner’s standards.
• Maintain a detailed internal model of the Managing Partner’s decision‑making patterns and preferences.
• Coordinate with the Chief of Staff on firm‑wide operational matters, routing non‑partner tasks appropriately.
• Anticipate needs and proactively address tasks before they become requests.

Required profile

• Proven experience supporting senior executives, preferably in a professional services or legal environment.
• Exceptional discretion, confidentiality, and judgment.
• Strong ability to anticipate needs and act independently.
• Excellent communication skills and a keen eye for detail.
• Capacity to manage multiple high‑priority tasks in a fast‑moving setting.
