Client Services Representative (Maternity Leave Cover)

About the role

Veterinary Referral Hospital Dandenong is seeking a Client Services Representative for a part-time maternity leave cover position of 28 hours per week, running for 6 months and commencing in January 2027. The role is the first point of contact for clients, helping ensure a smooth and supportive experience for pets and their owners, especially in urgent and high-pressure situations.

Key responsibilities

• Act as the first point of contact for all client interactions, in person and by phone
• Manage a multi-line switchboard, handling high volumes of calls efficiently
• Triage and respond to emergency patient enquiries, escalating when required
• Coordinate appointments, inquiries and client communications
• Maintain accurate client records and documentation
• Explain services, pricing and hospital policies clearly
• Liaise with veterinary staff to support patient care
• Process payments and handle basic financial transactions
• Keep the reception area clean, organised and welcoming
• Assist with general administrative tasks as required

Required profile

• Previous client service experience; veterinary or healthcare experience highly regarded
• Confident managing a busy switchboard and high call volumes
• Able to stay calm and composed in stressful or emergency situations
• Strong communication and interpersonal skills
• Team player who can also work independently
• Excellent organisation and multitasking abilities
• Availability for a variety of shifts, including evenings, weekends and public holidays (day and evening)
