Project & Programs Coordinator

About the role

This position supports the delivery of innovative programs in the aged‑care sector, linking providers, researchers and technology partners. You will coordinate project activities, manage stakeholder engagement and ensure timely reporting within a research‑focused environment.

Key responsibilities

• Coordinate and monitor program and project delivery to meet defined objectives and timelines.
• Manage intake processes, including enquiries, applications, eligibility checks and ongoing tracking.
• Organise workshops, meetings, panels and evaluation sessions, handling logistics, documentation and follow‑up.
• Maintain accurate records, databases and CRM systems, ensuring data integrity and confidentiality.
• Track milestones, actions and deliverables, escalating issues when necessary.
• Support ideation, planning, piloting and scaling of initiatives within structured frameworks.
• Prepare reporting materials, collate feedback and contribute to continuous improvement.
• Collaborate with internal teams and external stakeholders to ensure clear communication and coordination.

Required profile

• Experience in project coordination, program support or similar administrative roles in fast‑paced environments.
• Strong organisational ability to manage multiple priorities and meet tight deadlines.
• Excellent communication and interpersonal skills for building relationships with diverse stakeholders.
• Understanding of confidentiality requirements and handling of sensitive information.
• Relevant tertiary qualification or equivalent combination of education, training and experience.
• Experience in healthcare, aged‑care or social services is highly desirable.

Required skills

• Proficiency with CRM tools.
• Competence in modern office software (e.g., Microsoft Office).
