About the role
Join a fast‑growing immigration law firm in Pyrmont as an Executive Assistant/Office Manager. You will work directly with the Founder/Managing Director, supporting daily operations, managing schedules, and ensuring the office runs smoothly.
Key responsibilities
- Provide high‑level executive support to the Managing Director, including calendar management, meeting preparation and follow‑up.
- Act as the first point of contact for staff, clients and partners, handling calls, emails and enquiries.
- Coordinate domestic and international travel arrangements for the leadership team.
- Lead and document departmental, all‑hands and planning meetings, capturing actions and outcomes.
- Manage supplier relationships to maintain a clean and efficient office environment.
- Drive key initiatives from planning through delivery, ensuring projects stay on time and within budget.
- Implement and refine systems and processes to improve overall business efficiency.
Required profile
- Minimum 5 years experience in executive assistance or office management, preferably in a fast‑growth or entrepreneurial setting.
- Relevant qualifications in business, leadership or project management.
- Proactive, anticipatory and comfortable working with the EOS framework for scaling companies.
- Strong emotional maturity, high energy and the ability to stay calm under pressure.
- Excellent communication skills and a professional demeanor at all times.
