Client Services & Sales Coordinator

About the role

Budget Wedding Stories, a wedding photography and videography business scaling toward 1,000 weddings by 2026, is looking for a Client Services & Sales Coordinator in Brisbane. You will support sales, manage the pipeline flow and keep client documentation processes running, while staying clear of pricing and strategic marketing decisions. The role starts as a subcontractor while the business restructures, with the option and preference to move to a full-time employee.

Key responsibilities

• Lead management: respond to new inquiries within 10 minutes during business hours, send pricing guides and qualifying questions, book consult calls, log and update CRM records
• Sales support: confirm consult appointments, send post-consult follow-ups, issue invoices, follow up on unpaid deposits and keep pipeline stages accurate
• Client communication: send wedding preparation documents, collect timelines and shot lists, ensure required forms are completed, and keep a professional and warm tone
• Content support: upload blog posts, format and schedule content, and maintain document templates

Required profile

• Strong written communication skills
• Highly organised and process-driven
• Able to manage multiple conversations at once and stay calm and professional under pressure
• Emotionally intelligent
• Desirable: experience in weddings or events, sales or client-facing experience, and familiarity with Studio Ninja, ClickSend and Mailchimp
