Conference Planner – Exhibit Operations

About the role

Gartner is seeking a Conference Planner to lead exhibit operations, service delivery, and sponsorship fulfillment for its destination conferences. This role involves managing all exhibitor elements from planning through onsite execution.

Key responsibilities

• Lead operational delivery of exhibitor components across multiple B2B conferences, including project and floor‑plan management.
• Manage conference budgets, forecasting, and expense reconciliation for exhibitor fulfillment.
• Oversee onsite exhibit delivery, coordinating production schedules, agency partners, vendors, and staff.
• Develop and maintain exhibit floor plans and inventory to maximize revenue and engagement.
• Analyze data to guide conference decisions and maintain an online portal with exhibitor logistics.

Required profile

• Bachelor’s degree preferred.
• 1‑3 years experience in event, experiential marketing, or tradeshow management.
• Proven operational skills: production scheduling, budgeting, staffing.
• Project‑management experience handling complex programs.
• Strong interpersonal, communication, and relationship‑building abilities.
• Creative, detail‑oriented, and capable of thriving under pressure.
