Assistant Practice Manager - Urgent Care Clinic

About the role

Bupa's Carlton practice, which supports nine General Practitioners and Allied Health Professionals including psychologists and physiotherapists, is looking for an Assistant Practice Manager on a full-time fixed-term contract until mid-2027, with potential for extension or a permanent position. The role sits alongside the Practice Manager and covers day-to-day practice operations, with the chance to step in as Acting Practice Manager.

Key responsibilities

• Support the Practice Manager with day-to-day operations, recruitment, rostering, team performance reviews and financial oversight
• Coach and support the team to reach practice goals and targets
• Help continuously improve the patient experience
• Support regular team meetings and keep communication flowing across the practice
• Be hands-on with front desk operations, patient interactions and phone enquiries
• Act as Acting Practice Manager when required, covering rostering, staff performance, financial monitoring, timesheet approvals and order processing

Required profile

• Previous experience as an Assistant Practice Manager, or 4+ years in a senior front desk administration role in a busy GP, allied health or hospital setting
• Ability to juggle competing priorities accurately and calmly in a busy clinical environment
• Confidence working independently and leading when the Practice Manager is away

Required skills

• Experience with Best Practice software is highly regarded
• Strong communication and listening skills, able to build rapport quickly
• Confidence with technology and ability to learn new systems
