Administrative Assistant

About the role

The Administrative Assistant provides a broad range of administrative and customer‑service functions to support the Engineering Department and the wider South West Health Campus. You will work closely with internal stakeholders, contractors and visitors, ensuring professional, accurate and timely support.

Key responsibilities

• Prepare correspondence, reports, minutes and perform data entry.
• Maintain departmental records, files, databases and update the CMMS maintenance system.
• Coordinate appointments, enquiries, telephone communications and visitor registration.
• Process purchase orders, file receipts and manage stock ordering.
• Administer hospital vehicle fleet bookings and maintenance records.
• Arrange receipt, dispatch and courier activities, and support medical‑gas and consumable ordering.

Required profile

• Previous administrative experience with excellent attention to detail.
• Strong communication skills and a professional approach.
• Ability to build positive relationships, manage competing priorities and work collaboratively.
• Commitment to the Mission and Values of St John of God Health Care.

Required skills

• Proficiency with Microsoft Office applications.
• Experience using a Computerised Maintenance Management System (CMMS).
