About the role
We are seeking an experienced Executive Assistant to support the Marketing & Communications Director and the Corporate Affairs Director at Nestlé’s Rhodes office. The role combines high‑level administrative support with event coordination and stakeholder management, ensuring smooth operations for both teams.
Key responsibilities
- Manage complex calendars, schedule meetings and appointments for senior directors.
- Arrange domestic and international travel, including detailed itineraries.
- Handle end‑to‑end event planning for internal and external business activities.
- Prepare agendas, take minutes, consolidate presentations and liaise with presenters.
- Process purchase orders, resolve issues and maintain expense reports.
- Maintain team organisation charts, contact lists and onboarding for new hires.
- Provide administrative support such as catering, budgeting and document approvals.
Required profile
- 5+ years of experience as an executive assistant supporting senior leaders.
- Proven ability to work under pressure in a dynamic environment.
- Strong written and verbal communication with a high level of discretion.
- Eligibility to work in Australia and willingness to undergo pre‑employment checks.
Required skills
- Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Calendar management tools.
- Concur expense management system.
- Standard communications technology (video‑conferencing, email platforms).
