Office Manager & Senior Medical Receptionist

About the role

Ballarat Doctors is looking for a dynamic Office Manager who will also serve as Senior Medical Receptionist. You will lead a multidisciplinary team, ensure smooth clinic operations, and drive profitability while delivering high‑quality patient care.

Key responsibilities

• Lead nurses, medical receptionists and administrative staff, fostering a collaborative environment.
• Oversee patient flow, appointment scheduling, and ensure a patient‑centred experience.
• Optimize workflows to reduce wait times and improve efficiency.
• Manage budgeting, cost control, insurance claims and revenue‑cycle activities including billing and coding.
• Negotiate with vendors for medical equipment and services.
• Maintain compliance with healthcare laws, accreditation standards and evolving regulations.
• Handle medical emergencies, staffing shortages and other operational disruptions.
• Use data‑driven insights to improve service quality, risk management and continuous improvement initiatives.

Required profile

• Proven leadership and motivational abilities in a healthcare setting.
• Strong knowledge of healthcare compliance, accreditation and regulatory requirements.
• Experience managing budgets, financial planning and revenue‑cycle processes.
• Ability to resolve conflicts, address patient complaints and maintain cultural sensitivity.
• Excellent communication skills for liaising between clinicians, patients and external stakeholders.

Required skills

• Proficiency with EMR systems.
• Experience using Medicare billing software.
