Finance Assistant

About the role

Air Aroma is seeking a Finance Assistant to support its global finance operations. Reporting to the Global Finance Manager, you will focus on accounts payable while also assisting with broader finance administration across offices in Australia, New York, Dubai and the Netherlands.

Key responsibilities

• Process supplier invoices and manage day‑to‑day accounts payable for all global entities.
• Reconcile supplier statements and maintain positive supplier relationships.
• Handle shared Accounts Payable inboxes, respond to queries and resolve discrepancies promptly.
• Prepare and execute payment runs accurately and on schedule.
• Maintain vendor records, including set‑up, tax details and payment information.
• Update credit‑card transactions with corresponding supplier invoices.
• Assist with external reporting requirements and month‑end close activities.
• Support ad‑hoc finance projects and collaborate with the broader finance team.

Required profile

• Inquisitive mindset with strong initiative and problem‑solving abilities.
• Pursuing or holding a qualification in finance, business, accounting or bookkeeping.
• Excellent attention to detail and accuracy when handling invoices and financial data.
• Highly organised with the ability to manage competing priorities and meet deadlines.
• Proactive, hands‑on attitude and willingness to learn.

Required skills

• Microsoft Excel (formulas, reporting and data analysis).
• Experience with Xero, QuickBooks, Dext or similar accounting software.
• Familiarity with Salesforce or comparable CRM systems.
