About the role
The Pharmacy Administration Officer is the friendly first point of contact for patients, visitors and staff, providing exceptional customer service while ensuring smooth operation of the pharmacy department. This role combines front‑of‑house reception duties with a range of back‑office administrative responsibilities.
Key responsibilities
- Greet and assist patients, visitors and staff, handling enquiries and directing them appropriately.
- Perform administrative tasks such as correspondence, data entry, document preparation, records management, minute taking and reception duties.
- Review and validate prescriptions and hospital requisitions for accuracy and compliance before processing.
- Support stock management by receipting supplies, monitoring expiry dates and coordinating orders using the S4HANA system.
- Manage financial processes including cash handling, invoice processing, PBS reimbursement claims, reporting, reconciliations and maintenance of financial and patient safety records.
Required profile
- Strong administrative and computer skills with high attention to detail.
- Excellent communication and interpersonal abilities, able to interact professionally and confidentially.
- Collaborative team player who can adapt to changing priorities in a busy healthcare environment.
- Well‑developed organisational skills, capable of managing competing priorities, working independently and meeting deadlines.
- Experience in reporting, data analysis, cash handling and EFTPOS transactions with a solid understanding of confidentiality.
