About the role
We are seeking an experienced Executive Assistant and Office Administrator to support our Marketing & Communications and Corporate Affairs teams in Rhodes. Reporting to the Marketing & Communications Director Oceania, you will provide high‑level administrative support, manage calendars, travel, events and stakeholder communications while maintaining confidentiality.
Key responsibilities
- Maintain and manage calendars for the Director of Marketing & Communications and the Director of Corporate Affairs, scheduling meetings and appointments.
- Coordinate domestic and international travel arrangements and related logistics.
- Handle expense reports, budgets, catering, and meeting requirements.
- Plan and execute internal and external events, including monthly and quarterly business meetings and marketing functions.
- Prepare agendas, take minutes, consolidate presentations and liaise with presenters.
- Manage document approvals, team organisation charts, contact lists and purchase order processes.
- Facilitate new team member inductions and onboarding.
- Collaborate with fellow executive assistants across departments.
Required profile
- 5+ years of experience as an executive assistant supporting senior leaders.
- Proven ability to work under pressure in a dynamic environment.
- Strong verbal and written communication, organisational and discretion skills.
- Eligibility to work in Australia.
- Willingness to undergo pre‑employment checks.
Required skills
- Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Calendar management tools.
- Concur expense management system.
- General communications technology.
